01Start with one real operational problem
Write down the message type that causes trouble, who receives it and what a complete resolution looks like. For example: an owner sends an aftercare question, the assigned team reviews the plan, responds and records the decision. Use that same fictional example with every supplier.
02Questions to score during the demonstration
- Context: can the reviewer see the correct patient, active instructions and source of the owner’s information?
- Ownership: who handles a reply, an absent staff member and an unresolved concern?
- Access: can owners complete the first action, and what alternative exists when they cannot?
- Handoff: which information enters the PIMS, by what method and with whose approval?
- Cost: include setup, required integrations, team training and ongoing review time, not just the subscription.
03A decision rule your team can use
Separate essential requirements from preferences. Reject a fit if a necessary workflow has no confirmed owner or available handoff. For viable options, run the same evaluation during a pilot and record observed effort. Vetomo can be assessed through its free month with all available features.
04Take a decision sheet into the supplier meeting
Make one row for each essential workflow. Use columns for requirement, demonstration evidence, availability in your setup, responsible party, recurring cost, one-off effort and unresolved question. If the supplier says a connection is possible, leave the availability field unresolved until the actual access requirements are confirmed. A roadmap item and an enabled function are different answers.
For a fictional clinic, the essential requirement might be that a covering colleague can review an aftercare question without reconstructing the case. A polished owner screen is useful, but it does not settle that requirement. Ask the demonstrator to switch to the covering role, find the approved instructions and explain where the final decision is recorded. Write down what you observed, not only what was promised.
- After the meeting, assign every unresolved question to a person and date.
- Keep must-have failures separate from preferences such as layout or color.
- Include the people who will review updates in the decision; a buyer-only demo can miss daily workload.
- Use the same sheet for the free month, then document continue, change or stop with reasons.
